RE: Recommendation to Extend Melanson Contract

The purpose of this communication is to recommend extending the existing
contract with Melanson for services to audit the City’s general-purpose financial
statements, Federal Single Audit and schedules for the fiscal years FY2022 and
FY2023. The contract amount is $132,500 for each of the FY2022 and FY2023
audits.

During the past several years, this firm has provided audit services for the City’s Lawson
and MUNIS Financial Systems including General Ledger, Payroll, Accounts Receivable,
Accounts Payable, Procurement, Cash Receipts and Fixed Assets.

In summary, given the institutional knowledge of the City’s financial systems and
internal controls, it is important to maintain the services from the incumbent external
auditor — Melanson for continuity purposes.

Attached see a page from the API Heat Transfer catalog. Provide mounting bracket to support heat exchangers. Contact manufacturer to confirm
correct part number for the mounting bracket for the supplied heat exchangers. Submit cost ta owners for bracket.

Per conversation yesterday PM with D Hutchinson a field fabricated support is preferred for cost and schedule reasons. Methuen to provide sketch of
support frame for Waldron approval. Frame may de constructed from angle, channel, piate, or similar steel shapes and shail be bolted to the floor.

We do not own having to supply or select which bracket to use. It would be best if the engineer, who will have final approval, to be fhe ones to select
the proper product. We did not capture these costs fo track down this item.

It is to our understanding that the city is to supply these supports along with the Heat Exchangers. Can you please specify which stands would you like
to use so we can get an accurate cost for these.

Recommend that stands/supports are purchased from the manufacturer.

Alternately stands may be field fabricated from angle iron or similar.
