4.13.4 Mobile / fa-fieid Usage

(see also section 4.5 Inspection System)

-| 4.13.3.1 CIVICgov supports full mobile field utilization using any mobile device or smart phone. Inspectors and
other staff in the field can quickly and easily access their inspection schedule and open and manage any record across
all modules. Data is saved real-time and staff back in the office have instant access to changes that are occurring in
the field. The design is mobile responsive. Staff do not need to resize the screen or output lists.

Mobile Sync System: CIVICgov also provides an offline sync system that allows field staff to work in areas where
they may not have an active Internet connections. The Sync system will advise when the user has an active and
stable Internet connection where uploading and downloading of record changes can be completed.

Voice Recognition: CIVICgov supports voice recognition. Staff in the field can touch any text data field and by
utilizing the capabilities of the mobile device activate the feature to allow the verbal data to be recorded in critical
fields such as inspection results, corrective action required, etc. The CIVICgov mobile process almost eliminates the
need to utilize any QWERTY or other keyboard system. A touch of the screen and voice commands are almost all
that is needed to update records. (some features require interaction with a keyboard)

Mobile Checklists: Inspectors in the field can utilize the default checklists associated with various types of
inspections. Inspectors can mark each checklist item as required and make comments concerning each element.
Again voice recognition is supported in checklists. |

4.53.4 Dashboard

CIVICgov pprovides a landing page (starting point) when
first accessing the program. From the Dashboard, the user
can launch all of the modules, review and manage their
schedule using the calendar, and track and access all records
in the system that the user has been assigned to review,
comment on, perform inspections on, or similar review
activities. Once the user no longer has a required action, it
will be removed from the action item listing.

The action items list is a component of the dashboard. It is
customized automatically for the logged in users. All
records where the currently logged in user has some level of
review or action responsibility will be listed in this
component. This responsibility includes items such as being
listed as a record review or approval authority either as an
individual or as being part of a group that has such review
responsibility or as an inspector or issuing authority of the een ws
record displayed. Inspectors, once assigned as the inspector | a es co ~|
of record will, in addition to receiving email notifications, as
will have the inspection record listed in the action item tool. The action items tool only displays those records that are
considered open and have not been completed, closed, rejected, abandoned and placed in the archive system.

4.33.5 Scheduling Manager

The scheduler is used to provide a drag and drop

functionality to inspections that have been requested a ~

(CAM) targeting the mobile workforces that automatically routes and schedules on-site appointment activities.

Inspection Request Queue: This queue lists inspection request coming in from the public via the Citizen Portal, call
in or other ways the public submits requests. It lists those inspections that have not been assigned an inspector or an
inspection date. Any inspection coming from the Citizen Portal will have a temporary inspection number assigned
such as CP-RI-xxxx (randomly generated number based on date and time). The actual inspection number will be
assigned when the inspection is given to an inspector and a date is assigned.

Inspection Queue: This queue lists all the open inspections within the system across all modules. These inspections
have been assigned to an inspector but have not been resulted as pass or fail status. They are still being worked on.

Notification System.

As inspections are scheduled and other events and meetings are scheduled, the system will notify the concerned
inspector and other staff of events or inspections that have been associated with or assigned to using the built-in email
system
