4.2 Building Safety Department

4.2.1 Permitting and Projects Modules: The Permitting and Projects Modules support the functionality
requirement of the Building Safety Department. These modules manage all the permit & project operations within
the system. While we provide many data fields that meet local, state and national requirements users can create a
permit in 5 easy steps. They are pick the property, pick the permit type, pick the permit use (sub-type) assign fees,
and click save.

1. All permits/projects are applications that must be reviewed and approved within CIVICgov before becoming a
permits/projects. Once reviewed and approved, the system will automatically assign a permit/project number (custom
permit/project numbers are supported).

2. Application numbers are assigned automatically within the system and users can print application forms for the
end-user to sign or these forms are made available via the citizen portal

3. CIVICgov provides a Workflow/Status tab that monitors the routing of applications to various departments within
an agency. Each department has the ability to comment, review approve or deny the application. This routing is
process is user-defined. . Users with appropriate rights can re-direct the routing or adding other routing on the fly as
required. The system has an email program built-in where those in the routing can receive email that a permit
application was received/entered in the system. The email system can email externally to the public, applicant,
owner, contractor as long as their email is provided in the system

Permit and Project Types and Sub-types are easily customized by the user

4. The system will automate all fees associated with the record type. The system will automate or allow the user to
generate an invoice or a receipt of payment. The system provides an online payment processor that links directly to
the municipalities banks as setup by administrators.

5. Once an application is approved, the system will generate an automatic permit number as required by the RFP.

6. The inspection tab will track all required inspection

7. We provide a contractor database. This database will link to the other modules. Users can quickly select an
existing contractor from the database or add a contractor to the database and to the current record at the same time.
Using the contractor database will save the end-user from continually typing the same information for different
records. The system will also track contractor licensing information and expiration dates for licenses and insurance
related information. The system will also warn if licenses and insurance data has expired.

8. The system tracks every step of the application review process through review and approvals, construction,
inspections to final certificate issuance. Each record has a documents tab to review uploaded digital records. These
modules link to the plan review system built-in to CIVICgov. Various upgrade options are available

4.2.2 Compliance to RFP: This module fully supports all the functional requirements of the RFP identified under
Specifications, 2 Scope of Services & See Section 8— Addendum 1 Proposal Requirements items 1- 33
